PDF or HTML? Choose the best format for the accessibility and updating of your online content

The HTML format is the most accessible standard, and should be preferred whenever possible.

PDFs are often considered practical to share and have a consistent appearance, but they are difficult to read on mobile devices or for those who need to enlarge the text. Once downloaded, the user must replace them to access the most recent version.

Easy to structure: basic skills are enough to organize content semantically (headings, paragraphs, lists, links).
Suitable for any device: it automatically adapts to small screens, improving the experience on smartphones and tablets.
Always up to date: just modify the page in the CMS so that everyone accesses the most recent version, without the need to download files.
Visible on search engines: HTML content is easily indexable, improving online findability.
Consistent navigation: the user stays on the site, maintaining context.
Automatic translation integrated in the browser.

When it is necessary to use the PDF format:
For content intended for printing, such as brochures.
For official documents to be signed, even digitally.
For legal documents, to be archived.

If you can't publish content in HTML, perhaps because you don't have access to the CMS, it's better to share a Word or Google Docs document rather than a PDF. These formats are preferable for screen reader users, customizable (font, spacing, colors) for those with reading difficulties, interactive: users can highlight, add notes, reorganize content for study.
